Instructions for Speakers and Oral Presentations
Presentation Duration
- Keynote Talks: 20 minutes presentation + 5 minutes Q&A
- Invited Talks: 17 minutes presentation + 3 minutes Q&A
- Oral Presentations: 12 minutes presentation + 3 minutes Q&A
Time Limits:
All speakers must strictly adhere to the allotted time to ensure smooth conduct of sessions.
Presentation Submission & Backup
- Email Submission: Kindly email your presentation to the conference organizers at least one day prior to your scheduled session.
- Backup Copy: Please bring a copy of your presentation on a USB drive as a backup.
File Format
- Presentations must be prepared in formatPPT Format
- PDF format is not recommended.
Audio-Visual Support
The following AV facilities will be available:
- Laser pointer
- Cordless microphone
- Desktop microphone
- Standard sound system
Embedded Media
- If your presentation includes videos or animations, ensure they are properly embedded and linked.
- You may check your slides during session breaks.
Mac Users
- Projectors will support standard HDMI connections.
- Mac users are requested to bring their own compatible adapters.
Agenda Confirmation
- • Please re-check the final agenda after receiving the official notification from the organizers prior to the conference, as minor schedule adjustments may occur.
Q&A Protocol
- Conference volunteers will manage microphones during Q&A sessions.
- Audience members may raise their hands to receive the microphone.
Instructions for Poster Presentations
Maximum Poster Size
- Posters must not exceed A0 size (84.1 cm × 118.9 cm | 33.1 inches × 46.8 inches).
Supplies
- Push pins for mounting posters will be provided by the organizers.
Poster Session Timing
- Poster sessions will be conducted over two days, before the lunch break on each conference day.
Presenter Availability
- Presenters must remain at their posters during the entire session on both days.
- Active engagement with attendees and jury members is mandatory.
Jury Evaluation
- Presenters must remain present until the jury completes the evaluation process.
- Posters will be considered for Poster Awards based on evaluation criteria.
Poster Pitch
- All poster presenters are required to deliver a 2–3 minute pitch before the jury.
- This short presentation will assist the jury in assessment and award selection.
Poster Board Assignment
- Poster numbers and designated boards will be communicated at the start of the poster session.
Poster Layout Guidelines
While no strict format is imposed, posters should typically include:
- Title (prominently displayed at the top)
- Author names and affiliations
- Introduction
- Methodology / Experimental Results
- Conclusions
- References
Accessibility
- Use clear, readable fonts.
- Avoid red-green color combinations to accommodate individuals with red-green color blindness.
Poster Removal
- Posters must be removed after the Day 2 poster session.
- The conference organizers are not responsible for posters left behind.
